Terms of Service

1. Who we are and what CoachCard does
CoachCard is a presentation tool for fitness coaches. You feed it the client data you already track — weights, measurements, adherence, personal records — and it produces client-facing progress reports (as PDF, PNG, GIF, MP4, or a shareable web link) and invoices. It is not a coaching platform, a check-in collection tool, a medical service, or a payment processor.
2. Eligibility and your account
- You must be at least 18 years old and able to enter into a binding contract to use CoachCard.
- You are responsible for the accuracy of your account information and for keeping your login credentials secure. Everything that happens under your account is your responsibility.
- Tell us promptly at hello@coachcard.app if you suspect unauthorized use of your account.
3. Subscriptions, trials, and billing
CoachCard is offered on free and paid subscription tiers. Paid plans (currently Starter and Pro) are billed in advance on a recurring basis through our payment processor, Stripe. By subscribing you authorize us and Stripe to charge your payment method on each renewal until you cancel.
- Free trial. Paid tiers may include a 14-day free trial with no card required. If a trial requires a card, we will say so before you start it.
- Cancellation. You can cancel anytime; your paid features continue until the end of the current billing period, and you will not be charged again after that.
- Refunds.Except where required by law, payments are non-refundable. If something went wrong, email us — we’re reasonable.
- Price changes.We may change prices with at least 30 days’ notice; changes take effect on your next renewal.
Feature availability differs by tier (for example, certain output formats). Plan details are described on our pricing section and may evolve over time.
4. Acceptable use and fair-use limits
“Unlimited” plans are genuinely unlimited for normal coaching use, but we enforce invisible guardrails to protect the service from abuse and automated scripts. You agree not to:
- exceed our fair-use limits, including roughly 20 generations per minute, 3 simultaneous renders, a daily soft cap (around 300/day that triggers an automatic pause and review), and a monthly fair-use flag (around 1,000/month);
- resell, sublicense, or provide the service to third parties as your own product, or share one account across separate businesses;
- reverse engineer, scrape, overload, or attempt to bypass the security or rate limits of the service;
- upload unlawful content, malware, or data you don’t have the right to use.
We may pause, throttle, or suspend accounts that trip these limits. Heavy legitimate users will hear from us as a friendly conversation, not a ban.
5. Your responsibilities as a coach
You are the owner of the client data you put into CoachCard, and you are responsible for it. Specifically:
- Consent. You confirm you have the right and any necessary consent from your clients to enter, process, and share their data (including health-related measurements) through CoachCard. See the Privacy Policy for how we handle it.
- Accuracy. CoachCard renders reports from the numbers you provide and asks you to review them on a confirm screen before anything is generated. You are responsible for verifying the figures before you send a report to a client.
- No medical advice. CoachCard describes what your data shows and never gives medical, injury, or diagnostic advice — and you agree not to present its output as such.
6. AI-generated content
CoachCard uses a third-party AI model to draft the narrative note around the numbers you provide. AI output can contain mistakes or awkward phrasing. It is a draft for you to review and edit — you decide what reaches your client, and you are responsible for the final content. The numbers themselves are handled by deterministic code, not written by the AI. See the Privacy Policyfor exactly what is (and isn’t) sent to the AI provider.
7. Ownership and license
- Your content stays yours. You retain all rights to the data you upload and the reports you generate.
- License to us. You grant us a limited license to store, process, and render your content solely to operate the service for you (for example, parsing an upload, generating a note, rendering a file, and hosting a shareable link you create).
- Our stuff stays ours.CoachCard’s software, templates, design, and brand are owned by us and licensed to you only for use of the service. You may keep and reuse the reports you generate; you may not copy the underlying templates or software.
- Shareable links.When you create a public report link or share a file, you are choosing to make that content accessible to anyone who has the link. That’s your decision to make.
8. Third-party services
CoachCard relies on third-party providers (such as our hosting, AI, database, and payment vendors) to function. Their availability and their own terms are outside our control, and we’re not liable for their acts or outages. The current list is in the Privacy Policy.
9. Disclaimers
CoachCard is provided “as is” and “as available,” without warranties of any kind, to the fullest extent permitted by law. We don’t warrant that the service will be uninterrupted, error-free, or that AI-drafted text or rendered files will meet every expectation. CoachCard is a presentation tool, not medical, health, legal, tax, or financial advice.
10. Limitation of liability
To the fullest extent permitted by law, CoachCard and [LEGAL ENTITY NAME] will not be liable for any indirect, incidental, special, or consequential damages, or for lost profits, data, or goodwill. Our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim (or [CURRENCY]100 if you’re on a free plan).
11. Termination
You can stop using CoachCard and delete your account at any time. We may suspend or terminate your access if you materially breach these Terms or use the service in a way that risks harm to others or to us. On termination, your right to use the service ends; you can request an export or deletion of your data as described in the Privacy Policy.
12. Changes to these Terms
We may update these Terms as the product evolves. If we make material changes, we’ll update the “Last updated” date and, where appropriate, notify you. Continuing to use CoachCard after changes take effect means you accept the revised Terms.
13. Governing law and disputes
These Terms are governed by the laws of [GOVERNING-LAW JURISDICTION], without regard to conflict-of-law rules. Any dispute will be subject to the exclusive jurisdiction of the courts of [JURISDICTION / VENUE], except where applicable law gives you the right to bring a claim elsewhere.
